Hospitality Coordinator

Responsibilities (will include but not be limited to):

  • Communicate with Guests and provide festival information
  • Assist Director with management of Interns and Assistants 

  • Assist Director with planning of guest schedules, events, dinners and screenings 

  • Create and implement Guest schedules 

  • Guest data entry in Zone Festival - Follow-up with Accreditations, enter hotel and flight 
information
  • Verify Petty Cash log 

  • Accompany guests to Fantasia green room, dinners, cocktails and Screenings 

  • Accompany guests to Fantasia Studio for interviews 


Minimum Requirements:

  • Experience with Microsoft Office, particularly Word and Excel 

  • Experience in working with databases, (Zone Festival) 

  • Experience with Google Drive 

  • Able to communicate clearly via email and in person 


Preferred Skills

  • Passionate about film 

  • Clear communicator of succinct and accurate information 

  • Organized, pro-active and a self-starter 

  • Calm under pressure and capable of delivering to short deadlines 

  • Adaptable to changing scenarios and showing initiative 

  • A positive, can-do attitude

Transport Coordinator

Responsibilities (will include but not be limited to):

  • Coordinate ground transportation of Fantasia Guests 

  • Verify Guest flight information and enter into Zone Festival 

  • Recruit and Organize Volunteers to greet and drive guests to and from airport 

  • Drive to pick up/drop off guests if necessary 

  • Work with Frontière's Market to organize transportation of Industry Guests on Arrival/Departure day 


Minimum Requirements:

  • Experience with Microsoft Office, particularly Word and Excel 

  • Experience in working with databases (Zone Festival) 

  • Experience with Google Drive 

  • Able to communicate clearly via email and in person

Accreditations Coordinator

Responsibilities (will include but not be limited to):

  • Coordinate inquiries for accreditations
  • Ensure accreditations forms are properly filled out in Zone Festival
  • Prepare all materials needed to printing accreditations
  • Prepare and print accreditations for staff, guests and media
  • Oversee the distribution of accreditations to guests at airport
  • Manage schedule and tasks for the accreditations assistant
  • Attend the accreditation desk prior to and for the duration of the festival

Minimum Requirements:

  • Experience with Microsoft Office, particularly Word and Excel 

  • Experience in working with databases (Zone Festival) 

  • Experience with Google Drive 

  • Basic photo editing skills (ie Photoshop)
  • Able to communicate clearly via email and in person

Volunteer Coordinator

Responsibilities (will include but not be limited to):

  • Review volunteer applications on Zone Festival
  • Coordinate with Dans la rue for program volunteers
  • Assist in setting up the office
  • Create schedule for volunteers
  • Organize and hold SSP training for volunteers who bartend festival cocktails
  • Hold volunteer information session
  • Ensure volunteers are trained for their position
  • Organize activities for volunteers (on-stage thank you, supper and screening)
  • Assist with office tear down

Minimum Requirements:

  • Multiple experiences in leading large teams of people, in crowd management and /or event organization;
  • Detail oriented with strong communicational and organizational skills;
  • Excellent knowledge of Microsoft Office and Google Drive. Knowledge of Zone Festival an asset.
  • Bilingual written and spoken French AND English is essential;
  • Familiarity with the film festival environment;
  • Ability to work well both independently and in a fast-paced team environment;
  • Ability to adapt to a demanding work schedule, including evenings and week-ends;
  • Owns a cellphone;
  • Owns a portable computer OR be comfortable using a Chromebook computer;
